Quickstart
- Sign in with your work email — we'll send a one-time link.
- Click "Submit a list". If your account has more than one record type, pick where this list goes first. Each list goes to exactly one record type.
- Choose your upload mode (Add & Update, Update only, or Add only) and upload your CSV or Excel file.
- Confirm the column matches. Exact matches are filled in; anything uncertain asks you to confirm.
- Submit. Choose whether to send the contacts to TitanX for scoring — we check your credit balance first. A live progress screen then shows records being created and updated in Salesforce. You'll also get email updates.
- Review results in My Lists — fix any failed rows, download files, and follow scoring through to completion.
Formatting your file
- One header row, one contact per row. No merged cells, notes, or blank rows at the top.
- Include a company name or website so contacts attach to the right Account.
- Include email where possible — it's the best way to avoid duplicate contacts.
- Last Name is required by Salesforce. Blanks become
{unknown}. - Phone: one number per cell. Remove notes like "ext 104" or "call after 3". Use +country code for international numbers.
- Follow Up Date: use
MM-DD-YYYY(e.g. 03-15-2026). - Text limits: Salesforce caps some fields (e.g. Title at 128 characters). Long values fail and can be shortened in the fix wizard.
Bucket Status — accepted values (must match exactly)
Matching your columns
Your header names don't need to match Salesforce exactly. Each column is labeled:
- Matched — we're certain. Nothing to do.
- Please confirm / Most likely — check our suggestion and confirm or change it.
- Skip — choose this for columns you don't want in Salesforce.
Custom Fields (Custom 1–5) hold any extra research. The header name won't travel with the data, so put context in the value itself: write employees = 497, not just 497.
Some fields like Website and Company LinkedIn URL go to both the Account and the Contact automatically — you only pick them once.
Add vs. update
- Add & Update (default) — creates new records and updates ones that already exist.
- Update only — never creates anything. Use it to mass-edit records you know exist. Match on Outbound Operators ID, Salesforce ID, or email.
- Add only — creates new records and leaves existing ones untouched.
By default only empty Salesforce fields are filled. Tick "Replace values" to overwrite — you'll be asked to confirm.
Duplicates & Outbound Operators IDs
Every contact gets a permanent Outbound Operators ID (e.g. OOL-AB12-000001). It's saved in Salesforce and added to every file you download, so rows line up across your original file, the Salesforce-ready file, and Scoring.
- Contacts at the same company (same website or name) share one Account.
- Repeat rows within one file are caught and counted as duplicates removed.
- Re-uploading people already in Salesforce updates them instead of creating copies.
- Keep the Outbound Operators ID column in future files for the most reliable matching.
Reading your results
- Duplicates caught — the same person appeared more than once in your file. The first row is used; repeats never reach Salesforce.
- Contacts updated — the person already existed in Salesforce, and that record was refreshed with your file's data.
- Already in Salesforce — in Add only mode, an existing person was found and left unchanged.
Upload progress
After you submit, a live screen shows rows processed, Accounts and Contacts created or updated, duplicates caught, and any failures. It's safe to refresh, close the tab, or open it elsewhere — the upload continues on our servers. Status moves New → Received → Uploading → Uploaded, and you'll get an email at completion.
Fixing failed rows
If some rows fail, open the list and click Fix & Retry:
- The wizard walks you through each failed row and highlights the field to fix, in plain English.
- Edit the value, or use a bulk fix (e.g. shorten all long titles).
- Click Retry failed rows — only the failed rows are resent.
Prefer a spreadsheet? Download the failed rows as a CSV. If a failure is labeled technical, it isn't caused by your data — contact your Outbound Operators team member.
Adding fields to a list later
Got new data (mobile numbers, research) for people you already uploaded? Use Add fields to this list under that list instead of uploading a new one. It only updates existing records, never creates duplicates, and doesn't double-count reporting.
Phone numbers added this way update Salesforce only — they are not sent to TitanX scoring automatically. Scoring always receives a whole contact with all of its phone fields at once, so to score newly-phoned contacts, include them in a new upload and choose to score them.
TitanX scoring
Scoring at upload (recommended). When you click Submit, a pop-up asks whether to send these contacts to TitanX for scoring. If you say yes:
- We check your TitanX credit balance live. You authorize the spend of up to one credit per phone number (a contact with three phones uses three credits) — final credits spent are shown after scoring finishes. Credits are never spent on contacts TitanX can't score.
- Contacts with no phone number are flagged before you submit. They still upload to Salesforce but aren't sent for scoring; you can download the list of who was left out.
- Not enough credits? Click Buy credits on Scoring, then Re-check balance — your column matches are kept. If your email isn't recognized, ask your Scoring account owner to add you under Team Members. Or choose Proceed without scoring.
- After the Salesforce upload, eligible contacts are marked Submit To Scoring in Salesforce and the list is sent to your Scoring job board. My Lists shows "Scoring initiated upon upload to Salesforce", then Scoring complete with contacts scored and credits spent.
- Rows you fix and retry later are sent to Scoring automatically as a small follow-up — nobody is sent twice.
- If sending to Scoring ever fails, click Retry sending to Scoring on the list.
Scoring later. If you didn't score at upload, click Submit for Scoring on a completed list to open Scoring in a new tab with the list preloaded.
